Who we are
Fajem & Co. is an advisory firm working with owner-operated businesses in Ontario on exit readiness, growth, and business building. This policy explains what personal information we collect, why, and what we do with it. It is written to meet our obligations under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL).
What we collect
When you contact us or become a client. Your name, business name, email address, telephone number, mailing address, and whatever you choose to tell us about your business.
When we speak by telephone. Notes about the conversation, and — where we have told you at the start of the call that it is being recorded — a recording of it. We tell you before recording begins. If you would prefer not to be recorded, say so and we will not record.
About businesses we may approach. Publicly available business information: the company name, its listed telephone number and address, its website, and what its own website says about it. This is information a business publishes about itself.
When you use our website. Basic technical information your browser sends, used to keep the site working.
We do not collect financial account numbers, government identifiers, or payment card details through this website.
Why we collect it
- To answer your enquiry and arrange a conversation
- To provide the advisory services you have engaged us for
- To keep our own records of who we have spoken to and what was said
- To send you messages you have asked for, and nothing else
- To invoice you and keep the accounting records the law requires
We do not use your information for any purpose you would not expect, and we do not make automated decisions about you.
Consent
We ask for your consent before sending you commercial messages, and we record when and how you gave it.
Email. We send email where you have asked us to, or where we have an existing business relationship with you as CASL defines it. Every commercial email identifies us, gives our mailing address, and carries a working unsubscribe link.
Text messages. We send text messages only to people who have agreed on a recorded telephone call to receive them. Messages relate to a meeting that has already been arranged: confirming the time, rescheduling, or letting you know we are running late. We do not send promotional or bulk text messages.
You can withdraw consent at any time — reply STOP to any text, use the unsubscribe link in any email, or email us. One request stops everything, email and text alike, and takes effect immediately.
Mobile information
No mobile information will be sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. No mobile information is shared with any third party except the messaging provider we use to deliver the message on our behalf. Text messaging opt-in data and consent are never shared with anyone.
Who we share information with
We do not sell your information, and we do not share it for anyone else's marketing.
We use a small number of service providers to run the business — a telephony provider, an email provider, a calendar provider, a payment processor, and a hosting provider — and they handle your information only to do the job we have asked them to do. Some of them store data outside Canada, which means it may be subject to the laws of the country where it is held.
We disclose information where the law requires it.
How long we keep it
We keep client records for as long as we are working with you and for seven years afterwards, which is what our tax and professional obligations require.
We keep records about businesses we have approached and not worked with only for as long as there is a reason to, and we delete them when there is not.
Call recordings are kept for 90 days and then deleted.
Keeping it safe
Access is limited to the people who need it. Systems are password-protected, data is encrypted in transit, and access to records is controlled at the database level rather than only in the interface.
Your rights
You can ask us what personal information we hold about you, ask us to correct it if it is wrong, ask us to delete it, or withdraw your consent to being contacted. Email contact@fajemandco.com and we will respond within 30 days.
Changes
If we change this policy we will change the date at the top. Material changes will be brought to the attention of anyone we hold information about.
